A venue's stated capacity is almost always its theoretical maximum with nothing else in the room. Add a dance floor, a bar and a buffet line and the real number drops by a third. This works out what actually fits.

Why is my venue's stated capacity higher than this?
Because a venue's headline number is usually its maximum seated capacity: every square foot given over to tables, nothing else in the room. It is a real number and it is not a lie, it is just answering a question nobody actually has, since every wedding needs somewhere to dance and somewhere to get a drink.
The rule of thumb: a dance floor, a bar and a buffet together take about a third of a room. If a venue says 200 and you want all three, plan for around 130 to 150.
How much space per guest do you need?

How many people fit in a meeting room?
The same room holds wildly different numbers depending on how you lay it out, a 1,500 sq ft function room seats about 180 theatre style, 90 classroom style, 120 at banquet rounds, or 50 in a U-shape. Layout, not floor area, is what decides the capacity, which is why venue capacity charts always list a room four or five times over.

These allowances already include the chair, the aisle and the space to get to a seat. They do not include a stage, a registration desk, an AV rig or catering in the same room, tick those above and the calculator takes them off the top, which is usually worth 20 to 30 people in a room this size.
One thing every capacity chart leaves out: fire code, not floor area, is often the real ceiling. A room can be geometrically capable of 180 theatre style and licensed for 150. Ask the venue for the licensed number before you print anything.
How big should the dance floor be?
Allow about 4.5 square feet for each guest actually dancing, and expect roughly 40 percent of the room on the floor at once, which works out at about 2 square feet per guest overall. For 120 guests that is roughly 15ft by 15ft. Going bigger is a common and expensive mistake, an under-filled dance floor reads as an empty party in every photograph, and a slightly small one reads as a good night.

How many people fit in a meeting room?
It depends far more on layout than on floor area. Allow 8 square feet per person theatre style, 15 classroom style, 25 boardroom style and 30 for a U-shape. A 1,500 square foot room therefore holds about 180 theatre style but only about 45 in a U-shape.
How much space does each seated guest need?
Between 12 and 15 square feet per guest for round tables including the chair and the room to walk behind it. Banquet tables are tighter at 10 to 12 square feet, which is why long tables fit more people into the same room.
How big should a wedding dance floor be?

Does a buffet change how many guests fit?
